VoxBabel is a voice transcription and translation desktop application developed and operated by Aleksander Argirov (“we”, “our”, “us”), based in Bulgaria.

What information we collect and why

Account and billing

When you purchase a subscription, Paddle.com Market Ltd (“Paddle”), our authorised reseller and Merchant of Record, collects your name, email address, and payment details directly. We receive your email address and subscription status from Paddle. We do not store your payment card details. Paddle’s privacy policy is available at paddle.com/legal/privacy.

Licence and usage

We store a machine identifier (a one-way hash of hardware attributes — not reversible to identify your device by other means) and your licence key to enforce subscription limits and prevent abuse. We record how many transcriptions you have used in the current billing period.

Audio and transcriptions

Audio is recorded locally on your device and transmitted directly to our transcription providers (Groq and OpenAI, depending on your plan) for processing. We do not store your audio recordings. Transcription text is processed transiently and is not retained on our servers. Your transcription history is stored locally on your device only.

Bug reports

If you submit a bug report through the app, we collect the message you write, your operating system, app version, a tail of your local log file, and your IP address. This information is used solely to diagnose and fix issues.

Technical logs

Our servers log standard request metadata (IP address, timestamp, HTTP method and path, response status) for security and abuse monitoring. These logs are retained for 30 days.

Legal basis for processing

• Performance of a contract — processing your licence key and usage data to deliver the service you have subscribed to.
• Legitimate interests — IP-based rate limiting and abuse prevention; security logging.
• Legal obligation — retaining billing records as required by applicable tax and accounting law.
• Consent — bug reports, which you submit voluntarily.

Who we share your information with

• Paddle.com Market Ltd — payment processing, subscription management, and VAT collection (acting as Merchant of Record)
• Groq / OpenAI — audio transcription (audio transmitted directly, not retained by us)
• Legal and regulatory authorities — where required by law

We do not sell your personal data to third parties.

International transfers

Your data may be processed in the United States by Groq and OpenAI, and in the United Kingdom by Paddle. Each operates under standard contractual clauses or equivalent frameworks approved by the European Commission.

Security

We use industry-standard measures including encrypted transmission (TLS), credential storage via the Windows Credential Manager (not in plaintext files), and access controls on our backend systems.

Your rights

Under the EU General Data Protection Regulation (GDPR) you have the right to access, rectify, erase, restrict, or port your personal data, and to object to processing based on legitimate interests. To exercise any right, contact us at info@voxbabel.com. We will respond within one calendar month.

Changes to this notice

We may update this notice and will notify you by email or in-app notification where changes are material.
